Using Emails

Computer can help you have a better communication with others.  There are some chat tools that you can use, such as email, Facebook and so on.


Emails are commonly used in many area.  Not only we are using emails personally but also we are using emails in business.  

In our daily life, we can use emails to keep in touch with our family and friends.  We can use emails to send documents and share useful information.  For example, we can send some useful links to our friends.  Also, we can use emails to subscribe certain websites that we like to get the most updated information, such as news, flyers and events.  If we think some emails are bothering our life too much, we can unsubscribe easily.  

In our work, emails can help us in many areas.  First, we can use emails to apply for jobs.  Usually we need to use emails to send our resumes and get response by email or by phone call.  

Also, we need email to contacts our clients.  By using email, we can keep good relationship with our clients.  It is not only benefit to deal with the business but also maintain a goodwill for the company.  Moreover, we need emails to communicate with our co-workers.  Obviously, we will use emails to communicate anything related to our work with our co-works.  For example, it can be the issues coming up from the work, or it can be sending documents to them.

Using Excel


Computers can help you to create graphs or tables.  About this topic I will talk more about using Excel to help you create graphs or tables.

As we know, Excel is a data collection tools.  It can help to collect, sort and organize data.  There are many formulae function to help the mathematical problem
s, such as sum, average and medium.  Another function that Excel can help is graphs and tables.

Once you finish you data collection, you can use Excel to create a graph for you to analysis your data.  First select what you need to show in the graph; and go to insert to create a graph for you.  There are many type of graph you can create, such as bar char, pie chart, and line chart.  Then find the most proper graph for you. If you want, you can change the outline of the graph as well.  Once you finish creating the graph, you can use the chart in your presentations, your emails and your reports to make you have better communication with your information.  If you have problem with creating graph, you can use help function in Excel, type the key word, such as create table, the help tips will pop up for you to choose.

Using Microsoft Word


I have talked about the Microsoft in the first Blog entry.  Now I am going to talk about more in details about Microsoft Word.

As we know, word is a convenient word processor program.  It can help you with outline your ideas, improving correctness and creating professional documents.


When you are taking your notes by using bullets, you can use tab as image on the right side to outline your notes.  You just press enter every time when you need to add new bullets in your notes, words will automatically add the bullet point for you.  Also, if you want to edit your bullets, it is easy to select what you want to make changes.

In addition, when you make mistakes with your wording, such as spell, grammar, word will highlight the wording problem in read wavy line.  You just highlight the mistakes and right click; there will show recommendation words or grammars for your options.  If you have format mistakes, the mistakes will be highlighted in green wavy line.  You can correct your mistake by using the same way when you correct the word mistake.  This function is helpful to reduce your spelling or format mistakes.

Moreover, it is useful to help you format your documents in more professional ways.  As we know, in business writing, we usually use block style.  You can follow the instruction to format your letter in block style by hitting enter or removing line.  Attached is the link of block style (Block Style Format).  Also, if you are going to print your documents, you can go to margin to format whatever you need to adjust your documents to be more professional.  When you are going to send your documents, you can use save as function to save your documents into PDF, which will make your documents more security.

Using Information Collection Program



There are many programs can help to collect, sort and organize information, such as Excel, Sage, Quickbooks and so on.  All of them have different functions to collect information.

It is efficient to use proper information program.  

For a business, people would like to collect transaction information. They might use Transaction Processing System(TPS) to collect transaction information, such as transaction items, transaction date, transaction location etc. After collecting those information, managers can do some analysis by using that information; and they can make some decisions to help improve sales, service etc.  


For a HR department in a company, people might need to collect employees’ information, such as data of birth, home address, wage rate etc.  To do so, the HR department can use Employee Management System.  With the program, not only can the HR department collect basic personal information for employees but also they can use this program to improve employees.  If HR manager needs to train current employees, he can use the program to find employees’ previous achievement and make a plan to train the employees.

For a
n Accounting department, accountants should finish day-to day journal entries.  QuickBooks is very useful to help with the task.  When accountants collect the daily transaction receipts, they will book those data by using QuickBooks.  When time comes to prepare the financial statements, there is a report function on the program, accountants can finish preparing the financial statements by using that function, which will increase the efficient and save time for the work.

As we can see, to use the proper programs will reduce your work.  Also, the right programs will help you to collect effective and efficient information.

Using Blog


Computers can help you to share your ideas with others in a quick second.  The tools that you use to share your ideas can be blogs.

Before sharing your ideas, you should create a blog.  There are quite a few blog
s’ websites for you to create your own blogs, such as blogger, blog.com. etc.  You can use your email address as a log in account; you can set up the style for your blog.  Usually, there are many templates ready for you to set up the style. You can choose the one is your favorite.  Also, you can create your style by yourself.  Once you set up the blog, you can start to write your own blog entry.  It could be your comment about the society, your thoughts about the world, etc.  There is no restriction to the entry but should follow the common law.  In addition, on your blog entry, you can add videos, music, and pictures to make your entry more attractive.

There are some benefits to us
ing blogs.  First, it can improve your communication skills.  Through writing blogs, it is good practice of your language organization and your logical thinking.  Second, it can improve your social skills.  Through writing comments and replying comments, it is good interaction with others by using comment tools in blogs.  Third, it is convenient to share your idea with others.  Both blog users and non-blog users can read your blog entry by clicking your blog address link, which means it is accessible for everyone to read your ideas.

Using Microsoft Software


Although computers can help to create better communication in our work and life, without supporting from certain software, the computers are also hard to facilities the needs of our work.

The most familiar software for people, I think, is Microsoft Office Software.  There are some ways Microsoft can help you.

Microsoft Word

It is
a very helpful software that can help to compose a business letter, a memo, and an email.  Also, you can also use Microsoft Word to do formatting and printing.

Microsoft Excel

From my personal experience, Excel can help you in accounting work, such as preparing financial statements,
bookkeeping, and data analysis.  Also, there is a function called add-on which you can install third-party software in Excel to increase the usage of Excel.  For example, the Mege Data.  It is a kind of third-party software that you can install in Excel to do data analysis.  Moreover, Excel can help you to create tables and charts, which will be helpful for you to do data analysis.

Microsoft PowerPoint

Not only in school but also in business meeting
s, people use Microsoft PowerPoint frequently.   People can use PowerPoint to perfect their presentations, such as having variety transitions and animations in the slides, having multiple medias to insert in PowerPoint, and having more outlines to do the presentation.

Microsoft Outlook

People can use Microsoft Outlook to send and receive email
s.  Also, it is convenient for people adding contact information to Outlook.  In addition, if you have a smart mobile phone, you can download the proper software that can sync your contact information from your phone to your outlook.  Moreover, you can also send or receive from your smart phone.  This is helpful for you to have better communication with others.
